Terms of Use
Last updated: October 13, 2026
These Terms of Use ("Terms") govern access to and use of the StayWise Admin application and services ("StayWise", "we"), operated by Guilherme Pinzegher Ramos (an individual). Full identification details (tax ID and address) can be requested via the support email. By creating an account or using StayWise Admin, you agree to these Terms. If you do not agree, do not use the service.
1. Description of the service
StayWise Admin is a management platform for businesses that provide pet boarding and care services (pet sitting, day care, walks and related services). It lets you manage bookings, customers, pets, scheduling, availability, financial records and the business configuration. StayWise does not process payments from end customers; amounts received from pet owners are recorded as off-platform receipts.
StayWise Admin optionally includes listing the business on the StayWise marketplace (staywise.pet), with a public profile, chat and bookings arriving from pet owners. What that entails is set out in the marketplace listing section.
2. Eligibility and account
The service is intended for professional use by people aged 18 or older, on behalf of a business. You agree to provide truthful, up-to-date information and are responsible for keeping your credentials confidential and for all activity on your account. Notify us immediately of any unauthorized use or access. Access is via email/password or social login (Google and Apple), with optional multi-factor authentication.
3. Subscriptions, payments and renewal
Certain features require a paid subscription, offered in plans and cycles (monthly, quarterly or annual). The price and duration of each plan are shown before confirmation. The billing channel depends on where you subscribe:
- In the iPhone and iPad app: an in-app purchase processed by the Apple App Store and charged to your Apple ID account.
- In the Android app: an in-app purchase processed by Google Play and charged to your Google account.
- In the web dashboard: card payment or, in the Brazilian market, Pix — both processed by Stripe. We do not collect or store card numbers; they are handled directly by the payment provider.
- Store subscriptions (App Store and Google Play) and card subscriptions renew automatically at the end of each period unless cancelled before the current period ends — in the stores, at least 24 hours before.
- Store renewals are charged within the 24 hours before the current period ends.
- Pix is not a recurring payment: each period is paid separately and access ends when the paid period ends if no new payment is made.
- Cancellation: store subscriptions are managed in your App Store or Google Play account settings; the others, in the dashboard itself. After cancelling, access continues until the end of the period already paid for.
- Refunds for store purchases follow Apple’s and Google’s policies, which we neither control nor process. On the other channels, the applicable consumer rules and the support contact at the end of these Terms apply.
4. Free trial
We may offer a free trial. At the end of the trial, access to paid features requires an active subscription. Trial details and duration are shown at the time of the offer.
5. Acceptable use
You agree not to:
- use the service for unlawful purposes or in violation of applicable laws;
- attempt to access areas, data or accounts without authorization, or bypass security mechanisms;
- interfere with the operation of the service, overload it, or reverse engineer it, except where permitted by law;
- enter third-party data without an adequate legal basis or consent, where required.
- upload, publish or store third-party photos, text, documents or other content without having the necessary rights, authorizations or permissions.
6. Customer and pet data (you as controller)
When you use StayWise to register and manage your customers' and their pets' data, you act as the controller of that data and StayWise acts as a processor, handling it according to your instructions and our Privacy Policy. You are responsible for having a legal basis for this processing and for responding to data subjects' requests where applicable.
7. Marketplace listing (staywise.pet)
Listing your business on the StayWise marketplace (staywise.pet) is optional. When you turn it on, the profile you build in StayWise Admin — name, description, photos, amenities, pet policy, availability, price range and the approximate area of your address — becomes publicly visible to any visitor of the website and of the apps for pet owners. You can stop publishing at any time in settings; content already indexed by search engines may take a while to leave their caches.
For that purpose, and while the listing is active, you grant StayWise a non-exclusive, worldwide, royalty-free licence to display, reproduce and technically adapt (resize, compress, generate thumbnails) the profile content on the marketplace and in materials presenting the marketplace. You confirm that you hold the rights to that content, including for any third-party people and animals appearing in the images.
The business’s exact address and private contact details are not shown in search: until a quote is accepted the listing shows only an approximate area, and the full details are released to the pet owner at the moment of acceptance.
When a pet owner accepts a quote, the booking and the data it requires — the owner’s contact details, the pet’s data and its care instructions — arrive in your StayWise Admin account. From that moment you are the controller of that copy, on the terms of the previous section: it is for you to answer data-subject requests about whatever your business records, including photos you take of the animal during the stay. The terms the pet owner accepted are at staywise.pet/docs/terms.
On the marketplace, only the pet owner can accept a quote: your team prepares and sends it but cannot confirm it on the owner’s behalf, and the owner’s contact details and address reach your account only after that acceptance. Bookings you create in StayWise Admin can still be confirmed by your team.
The cancellation policy is yours: you choose Flexible, Moderate or Strict and set the deadline for each. The percentages are fixed: Flexible, full refund up to the deadline and none after it; Moderate, full refund up to the deadline and 50% after it; Strict, 50% up to the deadline and none after it. The listing and the quote show the rule to the pet owner, and each booking keeps the rule that applied when it was accepted. StayWise does not move money: it shows the rule and, on a cancellation, a suggested refund; charging, refunding and recording the refund are yours to do.
If a pet owner deletes their marketplace account, the bookings and the conversation with them stay in your account (details in section 10 of the Privacy Policy): a customer record your team created stays as it is and only loses the link; a record created from an accepted quote loses the owner’s name and contact details once the bookings end. You keep these records as controller, to perform the contract and to defend yourself if what was agreed is disputed.
StayWise is not a party to the care contract, does not guarantee demand, search position or that any booking will materialise, and may unpublish a profile that breaches these Terms, is incomplete, or presents a risk to pet owners and animals.
8. Linked customers and booking history
A customer record can become linked to the account the customer holds on the StayWise marketplace in three ways: when the customer accepts your quote on the marketplace; when the customer accepts an invitation you sent; or automatically, by email, when the email address in the record is the same as the verified email address of a marketplace account. A linked record is shown as linked in StayWise Admin.
The email address you enter in a customer record is what links the record to the account with the same address. Enter only the customer’s own email address: a mistyped address, or one that belongs to someone else, can link the record to that other person’s account, and that person then sees the bookings in the record. Correcting the address later does not undo a link already made; to do that, unlink as described below.
While the link exists, the customer sees in their account every booking in the record from the moment you send the quote, in any status, including bookings made before the link. Drafts not yet sent never appear. For each booking the customer sees: dates and scheduled times; services, with quantity, unit price and line value; subtotals, discount, total and currency; pets (name and species); status; the cancellation and rejection reasons; payment status, amount paid and each payment (type, amount, date and payment method); the dates of acceptance, check-in, check-out and closing; and the earlier versions whenever you change price, dates, services or payments. Never shown: internal notes, the booking description, schedule notes, check-in records, photos and daily updates, and data about your staff (who created, changed, cancelled or rejected a booking, or recorded a payment or discount). The customer is also notified by email of new bookings and of relevant changes you make.
The customer’s account keeps its own copy of these bookings. The copy remains even if you delete or anonymise the record, unlink the account or close your StayWise Admin account: it is the customer’s own history with your business. You can unlink the account at any time in the customer record ("Unlink StayWise account"); unlinking stops the updates, and the copy stays as it is. After an unlink, StayWise does not recreate the automatic email link with that customer: a new link arises only if the customer accepts your quote or an invitation you send.
Showing these records to the linked customer and keeping the copy in the customer’s account are part of the service. By using StayWise Admin you authorise StayWise, as processor of your customer data (section 6), to compare the email addresses in your customer records with verified marketplace accounts, to show the linked customer the bookings described above and to deliver a copy of them to the customer’s account. That copy is part of the customer’s marketplace account, for which StayWise is the controller; the records in your StayWise Admin remain under your control, as in section 6. Details are in the Privacy Policy.
9. Intellectual property
StayWise Admin, its brand, software and content are protected by intellectual property rights and remain owned by us or our licensors. We grant you a limited, non-exclusive, non-transferable license to use the application under these Terms. The data you enter remains yours.
When you upload, enter or publish data, photos, text, documents or other content in StayWise, you represent that you have all rights, consents and permissions necessary for that use. You retain ownership of that content, but grant StayWise a limited, non-exclusive, worldwide, royalty-free license, for as long as necessary, to host, store, reproduce, display, transmit and process that content solely to operate, protect, improve and provide the service.
10. Availability, support and disclaimers
We strive to keep the service available, but it is provided "as is" and "as available", without warranties of uninterrupted or error-free operation. We may modify, suspend or discontinue features, with notice where reasonable.
11. Limitation of liability
To the maximum extent permitted by applicable law, StayWise will not be liable for indirect damages, lost profits or data loss. Except where the law does not allow limitation, StayWise's total liability in any case is limited to the subscription fees actually paid by you in the 12 months prior to the event giving rise to the liability. Nothing in these Terms limits rights that cannot be limited by law, including consumer rights.
12. Termination and account deletion
You may close your account at any time within the application (Settings → Profile → "Delete my account"). The account is deactivated immediately and your personal data is anonymized after a 15-day grace period, as described in the Privacy Policy. Records the law requires us to retain (for example, tax records) may be kept for the legal period. We may suspend or terminate access in case of a breach of these Terms.
13. Changes to the Terms
We may update these Terms. Material changes will be communicated by reasonable means. Continued use after the new version takes effect constitutes acceptance.
14. Governing law and jurisdiction
These Terms are governed by the laws of the Federative Republic of Brazil. The courts of the district of Joinville/SC are elected, without prejudice to the rights of consumers residing in the European Union and to applicable data protection rules (LGPD and GDPR).
15. Security and data protection
We apply technical and organizational measures to protect the data processed in the service, including encryption in transit and at rest, password hashing, encryption of sensitive fields, multi-factor authentication, role-based access control and audit logs. The processing of personal data, legal bases, retention and your rights are detailed in the Privacy Policy.
In short: we keep account data while the account is active; upon a deletion request, the account is deactivated immediately and personal data anonymized after 15 days; records the law requires us to keep (for example, tax records) may be retained for the legal period. You can export your data from the app at any time.
16. Complaints and dispute resolution
We encourage amicable resolution. Complaints can be sent to suporte@staywise.pet. Consumers residing in the European Union may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
